Senior Secretary and Administrative Assistant

The Project Development and Grants Management Unit (PDGMU) have an immediate vacancy for the position of Senior Secretary and Administrative Assistant (GS5 – GS7 category) at ICARDA’s headquarters in Aleppo.

JOB REQUIREMENTS
The following will be the duties and responsibilities of the Senior Secretary and Administrative Assistant reporting directly to the Head of PDGMU:
Providing general secretarial and administrative support for the PDGM Unit, e.g. photocopying, use of appropriate ICARDA administrative forms, staff leave records, travel arrangements, follow-up action on various issues
Implementing record keeping and filing for PDGMU
Assisting in maintaining PDGMU databases as required, e.g. “pipeline projects”, operational projects, project reports etc.
Managing routine correspondence
Providing executive assistant support to the Head of PDGMU including managing diary, travel and correspondence, handling enquiries, preparation of meeting minutes etc
Translating/ proofreading and word-processing of correspondence and other documents (Arabic and English)
Assisting in maintaining inventory of agreements
Ordering office supplies and maintaining stock supplies
Any other duties assigned by the Head of PDGMU.

QUALIFICATIONS AND EXPERIENCE
Bachelor’s degree in a relevant field
Six years of experience as a secretary including as a personal or executive assistant
Specialized training courses in computers and software in English/Arabic including standard office software (including Microsoft Office suite) and some experience with web-site management
Excellent written and verbal communication skills in English and Arabic
Excellent interpersonal skills and the ability to work in teams
Ability work effectively under pressure
Experience in working with minimal supervision
Excellent organizational skills


TERMS OF EMPLOYMENT

The initial period of employment will be three years, renewable based on performance. Starting salary will depend on relevant qualifications and experience. ICARDA provides 20 days annual leave, a savings scheme, and medical/life insurance.
